3 Tips to Unlock Zoom's Potential: Advanced Chat, Captions & Meeting Rooms

Think you’ve mastered Zoom? Not so fast! πŸ‘€ Hidden features can make your sessions smoother, more inclusive, and stress-free.

This week, I’m sharing 3 must-know Zoom hacks to enhance interaction, improve accessibility, and streamline your workflow! πŸš€

1. Chat Formatting – Messages That Stand Out!

Ever sent an important message in Zoom chat, only to have it lost in a flood of replies? Zoom allows text formatting so your messages are clear, structured, and easy to read.

Why Use Chat Formatting? πŸ‘€

Highlight key messages:
Make important instructions stand out.

Improve readability:
Well-structured messages are easier to follow.

Encourage participation:
Clear messages encourage interaction.

Reduce repeated questions:
Less confusion = fewer clarifications.

By formatting your messages, you ensure everyone stays on the same page!

Where to Find the Formatting Options?

To access text formatting in Zoom chat, click the 'T' icon at the bottom left of the chat window. This opens the formatting menu and expands the chat window for better readability.

Multi-line Editing: In this mode, pressing Enter does not send your message immediately.

To send: Use CTRL + Enter (Win) or CMD + Enter (Mac), or click the Send button.

πŸ’‘ Tip: Combine different formatting styles to make key messages stand out!

Example:

πŸ“’ Task: In pairs, discuss your biggest challenge in virtual facilitation.
πŸ“ Take notes on key takeaways.
βŒ› Switch roles after 5 minutes.

πŸ’‘ Tip: Quick Formatting Shortcuts!

⚑ CTRL / CMD + B β†’ Bold text
⚑ CTRL / CMD + I β†’ Italic text
⚑ CTRL / CMD + U β†’ Underlined text

Use these shortcuts to format messages on the fly.

2. Set Up a Permanent Zoom Room

Tired of setting up Zoom meetings every single time?

A permanent Zoom room lets you create a single, reusable meeting link that you can share once and use indefinitely.

No more scheduling headaches - just a stable, always-available meeting space.

Best Use Cases for a Permanent Zoom Room

πŸ”Ή Coaching Sessions – Ongoing client or student meetings.

πŸ”Ή Community Drop-ins – Recurring networking, Q&A, or discussions.

πŸ”Ή Coworking Sessions – Focused work sessions with your team.

πŸ”§ How to Set Up a Permanent Zoom Room

1️⃣ Go to zoom.us and log in.
2️⃣ Navigate to ➝ Meetings ➝ Schedule a New Meeting.
3️⃣ Check the βœ… Recurring Meeting box.
4️⃣ Set Recurrence to 'No Fixed Time'.
5️⃣ Customize your settings (Meeting name, waiting room, passcode, etc.).
6️⃣ Save the meeting & share the link with participants.

πŸ’‘ Tip

Create multiple permanent Zoom Meetings for different use cases, keeping them separate and organized.

Unlike using your personal meeting room, this setup gives you full control - delete, change settings, or revoke access anytime.

3. Use Closed Captions in Zoom

Accessibility is more important than ever. Zoom’s closed captioning feature helps make meetings, webinars, and virtual events more inclusive by providing real-time captions for participants.

How to Enable Closed Captions in Zoom

1️⃣ Sign in to your Zoom web portal.

2️⃣ Go to Settings > Meeting > In Meeting (Advanced).

3️⃣ Enable Closed Captioning and optionally allow live transcription.

During a Meeting:

βœ” Click the CC (Closed Captions) button on the Zoom toolbar.

βœ” Select Enable Auto-Transcription for real-time captions.

Translation and Multi-Language Support

βœ” Live Transcription – English captions available for free accounts.

βœ” Live Translation – Included in select paid plans.

Host vs. Participant Capabilities

Hosts:

βœ” Enable and manage closed captions.

βœ” Assign captioning responsibilities.

βœ” Control auto-transcription settings.

Participants:

βœ” View and toggle captions on/off.

βœ” Adjust caption display settings.

βœ” Request live transcription from host.

Zoom Captioning: What’s Available?

πŸ”Ή Free Accounts – Auto-generated English captions only.

πŸ”Ή Pro Accounts – Live transcription, no advanced translation.

πŸ”Ή Business, Enterprise, Education – AI-powered live translations.

πŸ”Ή Webinar & Large Meetings – Captioning available, may need setup.

πŸ’‘Tip: If you run international meetings, consider Zoom’s Live Translation feature to provide real-time multilingual captions.

Why Your Screen Setup Matters Ever struggled to juggle slides, participant chat, notes, and other windows during a virtual session? Frantically switching tabs in the middle of a training, trying to find that one window? πŸ‘€ Your screen setup directly impacts engagement, efficiency, and professionalism. A cluttered workspace can lead to: ❌ Focus - Searching for windows breaks your flow. ❌ Engagement - If you're distracted, so is your audience. ❌ Workflow - Random window placement disrupts your...

Keeping participants engaged in virtual meetings and workshops isn’t always easy. A quiet audience, lack of interaction, or that awkward feeling of speaking into the void – sound familiar? 😐 I’ve been testing different ways to bring virtual sessions to life, and this week, I want to share a tool that makes engagement effortless: StreamAlive. It works right inside the chat – no extra setup needed for participants. Just type, and boom – instant interaction! If engagement has ever been a...

As someone who has used OBS Studio and virtual cameras for years, I take this feature for granted. If you’ve ever attended one of my virtual events, chances are you’ve seen me using itβ€”or at least heard me talk about it. Every online meeting, every session I run - I rely on it. To be honest, I can’t even remember the last time I used my plain webcam. But I also know that for many, virtual cameras are still an unfamiliar concept. So today, let’s go back to the basics and talk about: What...
